Privacy Policy

These terms apply to all safaris, treks, day trips and holidays booked with Gepard Reise Afrika Ltd. Please read them before paying a deposit.

1. Booking and confirmation

An enquiry is not a booking. Your trip is confirmed only when we have received your deposit and issued a written confirmation quoting your booking reference. Prices quoted are per person sharing unless stated otherwise and are held for 14 days from the date of the quote.

2. Payment schedule

• A deposit of 30 percent confirms your booking and secures camps and permits.
• The balance is due 45 days before arrival.
• Bookings made within 45 days of arrival require payment in full.
• Card payments carry a processing fee of approximately 3.5 percent, shown before you pay.

3. Cancellation by you

• More than 60 days before arrival: deposit refunded less an administration fee, which is stated in your quote before you pay anything.
• 60 to 30 days before arrival: 50 percent of the total trip cost is retained.
• Fewer than 30 days before arrival: 100 percent of the total trip cost is retained.

Some luxury camps, mobile camps and internal flights carry stricter terms set by the supplier. Where those apply we state them in writing in your quote before you pay.

4. Cancellation or change by us

We may change an itinerary where safety, weather, park regulations or wildlife movement require it. We will always substitute accommodation of an equal or higher standard. If we cancel a trip for reasons within our control, you receive a full refund. We are not liable for costs arising from events outside our control, which is why travel insurance is mandatory.

5. Insurance

Comprehensive travel insurance is a condition of booking. It must cover medical treatment, repatriation, trip cancellation and curtailment. For Kilimanjaro it must explicitly cover trekking to 6,000 metres. Your policy must cover emergency evacuation as well as treatment, because the two are often insured separately.

6. Passports, visas and health

You are responsible for holding a valid passport, the correct visa and any required vaccinations. We advise but cannot be held liable for entry refusal.

7. Fitness and participation

Safaris require no particular fitness. Kilimanjaro treks require the ability to walk 6 to 8 hours a day at altitude for consecutive days. Our guides may require any trekker showing signs of severe altitude sickness to descend immediately, and that decision is final and not refundable.

8. Liability

We accept liability for the negligent acts of our own employees in the provision of your trip. We are not liable for loss, injury or damage caused by third-party suppliers acting outside our reasonable control, by wildlife, or by your own failure to follow your guide's instructions.

9. Complaints

Tell your guide or call our Arusha office immediately so we can resolve the issue while you are still in the country. Complaints raised after your return must be submitted in writing within 28 days.

10. Governing law

These terms are governed by the laws of the United Republic of Tanzania.
